INSTRUCTION
INSTRUCTIONAL RESOURCES
ADOPTION OF ANCILLARY MATERIALS

Procedure

ANCILLARY COURSE MATERIALS

Ancillary materials: Items required for a course above and beyond the traditional textbook. Ancillary materials are limited to supplementary readings and course/program specific kits.  The purpose of ancillary materials is to supplement the required text of a course but not supplant the department adopted text. Ancillary materials may include:
  • supplemental reading materials that support student learning,
  • lab kits that allow students enrolled in online courses to perform necessary laboratory assignments at home,
  • and equipment/materials required for course completion and that the student will keep for future courses or professional work.

These items may be part of a fee attached to a specific section to provide students access to the materials without the need to purchase them individually. Alternately, ancillary materials may be listed on the syllabus for students to purchase individually.

Navarro College shall, with respect to each course, provide a list of the required ancillary materials that specifies, to the extent possible, the following information:
A.  The retail price
B.  The vendor
C.  The International Standard Book Number (ISBN) assigned, if any.
D.  The contents of any materials included as part of a kit.

Ancillary materials information may be found through the Navarro College Bookstore or the Course Syllabi link from the Navarro College Website.

ANCILLARY MATERIALS SELECTION PROCESS

Faculty members shall have an active role in the review and selection of ancillary course materials.  Department Chairs and Program Directors will approve all ancillary materials used within the department, and administration will enforce decisions made by the department. The Faculty Association Executive Committee (FAEC) shall mediate any issues regarding selection of departmental ancillary materials. Ancillary materials intended to be included as part of the cost of enrollment in a course (ex. Lab Kits) must also go through the approval process for establishing new course fees/passthrough fees.
A.  Department Chairs and Program Directors shall begin discussions regarding ancillary materials for the upcoming academic year with full-time faculty in their departments and publisher representatives no later than October 1. Department Chairs and Program Directors shall include the Navarro College Bookstore Director or representative before the selections of ancillary materials are finalized so that all parties are made aware of any implications that may result from a change in course materials.
B.  The selection process for departmental ancillary materials shall be a democratic process in which all full-time faculty shall participate equally in the review, discussion, and selection of materials that are most appropriate to meet the course objectives. Any faculty member desiring to conduct a pilot of an ancillary material other than those approved by the department must be responsible for assessing student learning outcomes (SLOs) in a manner consistent with the department and report SLO data at the end of the semester to the Department Chair or Program Director in the same format. Any pilot being conducted must be communicated with the Navarro College Bookstore in advance in order to ensure the bookstore has accurate course material information for the appropriate course sections and instructor. After the one-semester pilot is completed, the department will review the data and consider the ancillary material in next year’s textbook and ancillary materials selection cycle. The Executive Dean or Executive Director may deny the adoption of ancillary materials if:
a.  The materials do not meet State or Federal guidelines.
b.  The materials are cost prohibitive and not in the best interest of the student.
C.  By February 1 of each academic year, the Navarro College Bookstore Director shall send an email to Department Chairs and academic deans requesting fall adoptions of ancillary materials, outlining the submission process, and assigning a due date for submission.
D.  After receiving the email from the NC Bookstore Director, the Department Chair shall submit a list of ancillary materials to the bookstore by the established deadline of March 1, using the adoption tool provided by the bookstore, Verba College. No departmental changes to ancillary materials shall be allowed after the deadline except in extenuating circumstances and with prior approval by the appropriate Executive Dean or Executive Director.

ADDITIONAL INFORMATION

Navarro College will provide students with information regarding:
A.  Alternative content delivery programs; or
B.  Other available institutional cost-saving strategies.

INSTRUCTIONAL MATERIAL FOR CERTAIN STUDENTS WITH DISABILITIES

This section explains the process of obtaining alternative format versions such as pdf or other digital formats for required course ancillary materials.

Materials that are considered required for a course or program must be identified in writing on the course syllabus, or by another agreement by the course instructor and/or department.

REQUEST FOR SPECIALIZED INSTRUCTIONAL MATERIALS

Students requesting specialized formats must be approved by the Office of Accessibility and Accommodations as needing the “alternative format” accommodation based on her/his disability.

A request for alternative format materials must be made to the Navarro College Office of Accessibility and Accommodations and must include proof of purchase of the course materials (if applicable).

The Office of Accessibility and Accommodations will then make a request to the publisher or manufacturer.  Requests typically take at least 2 weeks to process. A publisher or manufacturer may require that a request made by Navarro College include from each student a signed statement described in 19 Administrative Code 4.206(c).

In order to facilitate students obtaining materials in a timely manner, instructors and academic departments shall comply with Navarro College’s procedures for turning in materials and reading lists by the established deadlines.

ELECTRONIC COPIES

Each electronic copy of instructional material must:
1.  Be in a format that contains all of the information that is in the instructional material, including any text, sidebar, table of contents, chapter headings, chapter subheadings, footnotes, index, glossary, and bibliography, and is approved by the publisher or manufacturer, as applicable, and the college as a format that will contain that material; and is compatible with commonly used Braille translation and speech synthesis software; and
2.  Include any correction or revision available at the time the electronic copy is provided.

If the publisher or manufacturer and Navarro College are not able to agree on a format, the publisher or manufacturer, as applicable, shall provide the electronic copy of the instructional material in a format that can be read by a word processing application and that contains as much of the material specified by that subsection as is practicable.
